UNCW affiliation agreements: why the site's contract sets your pace
Some clinical sites host a UNCW student only after the site and the university sign an affiliation agreement, and UNCW's clinical handbook warns that one can take six weeks or longer. A site with an agreement already in place skips that wait entirely. Here is how agreements work at UNCW, how they differ from your placement forms, and which North Carolina systems run their own.

What an affiliation agreement is
UNCW's DNP Immersion and Clinical Overview handbook (Fall 2025) defines it as a contract, "established upon request of the site," that forms the overarching agreement between a site and UNCW. It is managed for the university by the CHHS Applied Learning Operations Coordinator, and the Clinical Placement Team negotiates and maintains agreements whenever a site requires one.
CHHS guidance for faculty and staff adds who signs: the site's representative, and the CHHS Dean, whose signature is required. It also keeps shorter, student-to-site learning agreements separate from the overarching contract, and says a list of agencies with agreements is available on request.
Two features matter for planning. The site decides whether a contract is needed, since some host students on placement paperwork alone. And an agreement belongs to the site and UNCW, not to one student, so once signed it can serve later students too. That is why the handbook's search tips point students toward North Carolina sites that already have one, confirmed with the Graduate Clinical Coordinator.
The timeline: up to 6 weeks, or more
The handbook's wording: "If an affiliation agreement is requested by the site, students must keep in touch with the Clinical Placement Team for updates on the status of the affiliation process. Due to the nature of the agreements, it may take up to 6 weeks (or more) to process." Its tips add that sites without an agreement "can be used once the agreement is obtained."
Set that beside the submission timing. UNCW's own text sets an 8-week floor before the semester while its chart asks for 90 days before the course, and the submission deadline guide puts the two side by side. A new agreement started at the 8-week line leaves almost no margin, and the handbook sets no upper limit on the "(or more)."
The practical rule: the moment a site mentions a contract, tell the Clinical Placement Team, and keep checking on it. A pending agreement can hold an otherwise approved placement at the door.
Agreement or placement form? Two different signatures
Students often mix up the site's contract with their own placement paperwork. The Clinical Placement Packet, including the Partner Site Acknowledgment Form, covers one student, one preceptor, one course and one semester; the handbook describes that form as identifying "the student-to-site-to-preceptor relationship and agreed upon expectations."
That packet travels by DocuSign. Once the GCC signs off, the form routes itself to the preceptor for signature, and every party receives a completed copy. The affiliation agreement sits above it, signed between the site and UNCW, and can cover many students over several years. A site may need both, and your start waits on whichever finishes last.
Related paths exist elsewhere in the School of Nursing. For DNP project sites, UNCW will set up an agreement with an agency and liaison the student identifies when the agency asks, and Post APRN and Nurse Executive Leadership students file a signed Letter of Agreement with their employer or practice site. The nurse educator practicum needs a fully executed agreement at least 5 weeks before NSG 588 (or NSG 596 for earlier cohorts).
North Carolina systems with their own agreements and front doors
Several systems layer their own process on top of UNCW's. Their public pages, when this guide was updated:
- Atrium Health and Atrium Health Wake Forest Baptist. Atrium's Center for Advanced Practice requires an active Clinical Education Affiliation Agreement (CEAA) and has paused new ones. UNCW appears on Atrium's CEAA list with a five-year term from 4/30/2024 to 4/30/2029, and Wake Forest Baptist lists UNCW among its affiliated nursing schools. Its lead times conflict: three to four months on one page, four to six on the request form.
- Cone Health (Greensboro). Names UNCW among its partner programs, finds the preceptor, and wants requests at least 90 days and onboarding at least 60 days ahead. It also says it no longer takes students from fully online programs; ask the GCC how that applies to UNCW.
- Novant Health, including NHRMC in Wilmington. The school, not the student, files rotation requests in myClinicalExchange, a minimum of 30 days ahead. Novant said it would name preferred schools in the first quarter of 2026; no list was published as of September 2026, and its placement page does not name UNCW.
- Goshen Medical Center. A southeastern North Carolina community health center network that lists UNCW as an affiliated school. The agreement is with Goshen, not the individual provider or site, and Goshen charges a monthly placement payment.
- ECU Health (Greenville). Requires an affiliation agreement, offers help identifying a preceptor, and wants an inquiry at least six months before the rotation. UNCW is not named.
A name on a system's list shows an agreement as of that list's date, so confirm current status with the Graduate Clinical Coordinator before building a semester around it. North Carolina NP preceptors covers these systems region by region, and any site fee follows UNCW's rule for paid clinical sites: it goes through your student account.
Why an existing agreement moves faster
With a current agreement, the contract step disappears. Your packet goes to the GCC, DocuSign carries it to the preceptor, and what remains is compliance and the site's own onboarding. Without one, the Clinical Placement Team negotiates a contract first, and the placement waits until it is signed.
The difference compounds across a program. A single site can host an FNP or AGPCNP student across every practicum if it satisfies each course's objectives (the handbook rules this out for PMHNP), and returning to a previous preceptor needs only GCC approval; preceptors per course explains both rules. Either way, one agreement can carry several semesters.
Before committing to a new site, ask three questions. Does it require an agreement? Does one already exist with UNCW? Does the system run its own request platform with its own lead time?

UNCW's clinical handbook puts processing at six weeks or longer, with no ceiling, and it expects the student to keep in touch with the Clinical Placement Team for status updates. Raise the request as soon as a site says it needs a contract, and treat the 90-day submission line as your working target.
Who signs the affiliation agreement, me or UNCW?
The site and UNCW. The agreement is an overarching contract between the site and the university, signed by the site's representative and the CHHS Dean, and handled by the Clinical Placement Team. Your own signatures go on the Clinical Placement Packet, which you and your preceptor complete for a specific course and semester through DocuSign.
How do I find out whether a site already has an agreement with UNCW?
Ask the Graduate Clinical Coordinator. UNCW's handbook tells students to identify North Carolina sites with existing agreements and to confirm them with the GCC, because public lists age quickly. Some systems, such as Atrium Health, publish their own lists of schools with current agreements, which can help you narrow a search.
Can I start clinicals while the agreement is still pending?
No. UNCW's handbook says a site without an agreement can be used once the agreement is obtained, and you also need GCC approval and the first day of course orientation before any hours count. Hours logged before everything is in place risk being disqualified, so wait for the cleared-to-begin email.
Does Novant Health take UNCW NP students?
Novant's public placement page does not name UNCW. The school files requests in myClinicalExchange 30 or more days before a rotation, and Novant has said it will move to a preferred list of schools, which had not been published as of September 2026. UNCW BSN students do rotate at NHRMC, under separate, school-assigned arrangements.
