Logging your UNCW clinical hours in Typhon
UNCW tracks every DNP clinical hour, patient encounter, immersion hour and evaluation in Typhon, and gives you 5 days to log each encounter. An hour only helps you if it is patient care, falls inside your course's dates after UNCW has cleared you, and reaches Typhon on time, because your clinical faculty confirm your hours there before you can progress.

What UNCW uses Typhon for
UNCW's clinical handbook names Typhon, the Nurse Practitioner Student Tracking System, as the record for all clinical and immersion hours, the patient encounter logs, and the evaluations and surveys attached to each practicum. Access arrives during DNP orientation, and the Clinical Placement Team adds your approved site and preceptor to the system. It sits alongside the other accounts described in UNCW's student systems.
The nurse educator programs use it too. MSN Nurse Educator and Nurse Educator certificate students have their preceptor review form in Typhon, and their preceptors confirm practicum hours there.
Treat Typhon as the only version of your clinical record UNCW will read. Hours kept in a notebook or a spreadsheet count for nothing until they are entered, and an evaluation your preceptor has not submitted there holds up your grade.
The 5-day logging rule
The handbook's wording is direct: "Students must log patient encounters and immersion hours in Typhon within 5 days of the encounter." Five days covers a clinic week with a little slack, not a month of catch-up at the end of term. The rule applies to immersion hours as well, so time spent on DNP project work at your site belongs in Typhon inside the same window.
Logging the same evening or the next morning works best, because detail fades fast after a full clinic day and a vague entry is harder for faculty to credit against a requirement. A short routine helps.
- Keep a brief note after each patient.Age, visit type and your part in the visit, with nothing that identifies the patient.
- Enter the day's encounters that evening.Match each one to the category your program counts, so it lands against the right minimum.
- Record the day's hours on their own.Only the time you spent in patient care, starting after orientation and approval.
- Check your running totals every week.Compare hours and encounter counts with your course target while a shortfall is still easy to fix.
What a log entry can claim
UNCW's counting rules decide what a Typhon entry can include. The complete list is on what counts as a clinical hour; these are the rules that shape everyday logging.
- Patient care time only. Commuting, EMR training and orientation to the site stay out of your hours.
- Watching is not enough. Observation visits do not count toward encounter totals.
- PMHNP students count a session only when they are actively engaged in the therapeutic process, which UNCW sets at 25% or more recorded in Typhon, and a group therapy session counts as a single encounter.
- FNP and AGPCNP students may claim no more than 50 telehealth encounters across the program, and those visits must happen on site at the clinic rather than from home.
- PMHNP telehealth may be done from home under the clinical agency's guidance and with privacy safeguards, with telehealth kept under half of all encounters across rotations.
For FNP students, each entry also counts toward program minimums by age group and visit type, listed on FNP patient encounters.
Hours have to fall inside the semester
Every entry needs a date UNCW will accept. Clinical hours start no earlier than the first day of course orientation and the Graduate Clinical Coordinator's approval, and the handbook warns that hours begun before both may be disqualified. They stop at the last day of classes for that semester. Nothing accrues on days the UNCW campus is closed, whatever your site's own schedule.
For 2026, the Preceptor's Corner gives spring as January 13 to April 30 and fall as August 10 to December 10. The Registrar lists August 19 as the first day of fall 2026 classes, and the preceptor pages post no summer dates, so log against your own course calendar and orientation date.
Hours logged before UNCW clears you to begin are at risk even when the preceptor was glad to start early. Wait for the cleared-to-begin email before your first clinic day.
The records your faculty reads
Clinical faculty use Typhon to confirm that your hours are complete, and the handbook ties that confirmation to your progression. Faculty complete evaluations there, and so does your preceptor. Before the semester closes, check that your preceptor has submitted the Assessment of Clinical Performance by Preceptor; without it, you do not receive a grade for the course.
At the end of each clinical semester, the Clinical Placement Team also sends preceptors documentation of the clinical rotation hours they supervised, one more reason your entries need to be exact. If your totals fall short by the end of the term, UNCW can assign an incomplete, and progression pauses until you finish the course; grades and progression explains what follows.
Keeping your Typhon numbers on track
Most logging trouble starts before the first entry, with a preceptor who has too few clinic days or a patient mix that cannot supply the encounters your program counts. Questions UNCW students ask
When do UNCW students get Typhon access?
During DNP orientation. UNCW's clinical handbook says Typhon access comes with the orientation at the start of the program, well before the first practicum. Your site and preceptor appear in Typhon once the Clinical Placement Team adds them, so check that both show up correctly before your first clinic day and raise any gap with the team.
What happens if I log a Typhon encounter after 5 days?
UNCW's handbook sets the 5-day window, but the public documents do not spell out a penalty for a late entry. Course faculty review your logs and confirm your hours for progression, so ask your course faculty how late entries are treated in your practicum, and build a habit that keeps you well inside the window.
Do immersion hours go into Typhon too?
Yes. UNCW uses Typhon for immersion hours as well as clinical hours, and the 5-day window applies to both. Does my preceptor need to use Typhon?
Your preceptor completes an evaluation of your clinical performance through Typhon, and nurse educator preceptors also confirm practicum hours there. UNCW asks for the preceptor's preferred email address because it sends communications and evaluation links to it, so make sure the address you submit is one your preceptor actually checks.
