The UNCW background check and 12-panel drug screen
Every UNCW DNP student clears a criminal background check and a 12-panel urine drug test, then repeats both each year of the program. BSN students meet their own version at admission. Here is what each check covers, when it is due, the handbook conflict over who sees your results, and what North Carolina clinical sites layer on top.

Two checks, repeated every year
UNCW's DNP clinical handbook treats the background check and the drug screen as annual requirements for every student, from admission through the last practicum. Both sit in your compliance file with Castle Branch or Certiphi, and both are part of what the Graduate Clinical Coordinator looks at before clearing you to begin at a site. The yearly cycle tends to trip people up in the second and third years. A practicum that opens in January or in summer still needs a current background check and drug screen, and a renewal that lapses between semesters can hold up a start even when the preceptor is ready. Put both renewal dates on your calendar the day you first clear.
The criminal background check
The handbook's rule applies to every School of Nursing applicant: a statewide criminal background history for each state you have lived in during the past seven years. A nurse who moved from Virginia to Wilmington three years ago has both states searched. Reports typically come back within ten working days, so give yourself at least two weeks of margin before any deadline.
Refusing the check ends the application. The DNP Student Handbook for 2025-2026 says a refusal to complete it withdraws the offer of admission. On the undergraduate side, UNCW's catalog makes a cleared criminal background check one of the conditions for entering the prelicensure BSN.
UNCW's public pages do not describe how a finding on a report is weighed for clinical placement. If you expect something to appear, raise it with the Graduate Clinical Coordinator early, before a preceptor and site are lined up rather than after.
The 12-panel urine drug test
UNCW's test is a 12-panel urine screen processed at a NIDA-certified laboratory. The DNP clinical handbook lists the panel by its lab codes:

On timing, the DNP Student Handbook asks you to pass the screen no later than two weeks before fall orientation, and every year after. UNCW may also call a random screen, and you then have 24 hours to complete it. Every testing expense is the student's.
If you take a prescribed medicine that could register on the panel, ask the Graduate Clinical Coordinator how UNCW wants it handled before you test. The public handbook text leaves that step out.
Who sees your drug screen result: a handbook conflict
UNCW's two DNP handbooks do not agree on this point. One passage in the 2025-2026 DNP Student Handbook says no individual drug screen results will be given to clinical agencies, while that handbook's confidentiality section says results may be provided. The Fall 2025 clinical handbook says individual results may be provided to clinical agencies.
Two passages out of three allow sharing, so the safe assumption is that a clinical site could see your result. If that matters to you, ask the Graduate Clinical Coordinator which wording governs your cohort and keep the answer in writing. Whatever the answer, your drug testing submission is always part of what the coordinator reviews before approving you for a site.
How other UNCW programs run the same checks
- BSN Prelicensure: a negative drug screen and a cleared background check are listed among the catalog's special requirements. The clinical handbook runs the 12-panel screen in the first semester and again before the third and fifth semesters, and repeats the background check before the third and final semester, even though it heads that item as an annual check.
- ABSN: admission asks for a negative urine drug screen and a negative background check before the summer start.
- MSN Nurse Educator and the certificate: a 12-panel drug screen and a background check, both handled through Certiphi.
- RN-BSN (online): a pre-practicum drug screen policy applies before your first practice experience and annually after. The catalog says each course's practice experiences determine which special requirements apply.
- Post APRN and Nurse Executive Leadership DNP: the yearly background check and drug screen apply to all DNP students, including those with no assigned preceptor.
What North Carolina clinical sites add
UNCW's clearance is the baseline. Hospitals and large practices run their own student onboarding, and several ask for more paperwork or more lead time than the UNCW file supplies. A few examples from the systems' own student pages:
- Novant Health (NHRMC in Wilmington, plus Brunswick and Pender): the school submits rotation requests through myClinicalExchange at least 30 days before the start date, finishing every requirement can take up to 30 days, and Novant asks the school for a letter of agreement and a certificate of insurance renewed each year.
- UNC Hospitals: all NP student compliance and onboarding must be coordinated through the APP Center.
- Cone Health (Greensboro): lists UNCW as a partner program, wants requests at least 90 days ahead and onboarding finished at least 60 days before the start. Its page also says it no longer accepts students from fully online programs.
- Atrium Health: rotations need an active affiliation agreement; Atrium's published list shows UNCW's running from April 2024 to April 2029.
UNCW's handbook adds that a site may want proof of OSHA or HIPAA training, a photo, a recent physical or your CV. Build a site's onboarding time into your plan alongside UNCW's 8-week submission deadline.

Every year. UNCW's DNP clinical handbook makes both the criminal background check and the drug screen annual requirements for as long as you are enrolled, and renewals carry a yearly fee. The check covers each state you lived in over the past seven years, so a recent move adds a state to the search.
Who pays for UNCW's background check and drug screen?
You do. The DNP clinical handbook puts the costs of drug testing and background checks on the student, including yearly renewals and any random screen. UNCW does not post vendor prices publicly; the amount appears when you order through the compliance platform assigned to your cohort.
Can I start clinicals while my UNCW background check is pending?
No. The Graduate Clinical Coordinator's approval to begin at a site includes a review of your background check, drug test and immunizations, and hours started before that approval risk being disqualified. Since reports usually take about ten working days, order the check well ahead of both July 15 and your first clinical day.
Do UNCW BSN applicants need a background check?
Yes. The undergraduate catalog lists a cleared criminal background check for admission to the prelicensure BSN, and the ABSN asks for a negative background check and a negative urine drug screen. The Prelicensure and ABSN clinical handbook then repeats the background check before the third and final semester.
Can UNCW require a random drug test during a practicum?
Yes. UNCW's DNP drug screening policy allows random screens in addition to the yearly test, and a student who is asked has 24 hours to complete one, at the student's own cost. During clinical semesters, know where your nearest collection site is so a request fits inside that window.
